EyeCareConnect is a practice automation software solution that is accessed and used over the internet vs. traditional software that is installed on your local PC or file server. Our company is an Application Service Provider (ASP) which hosts a web service that looks and feels like a software program, but also offers considerably more.
EyeCareConnect is a hybrid between software and outsourced services. We are not a billing service per se. But we empower your office to be its own, very efficient one. We do not work directly with your patients or handle their calls, but we send bills and recall cards directly to them under your control. We send claims to the carriers of your choice, directly under your control. And we can do it for considerably less than the typical billing service charges.
Our favorite question. For the multiple office practice, EyeCareConnect represents the most flexible, robust, yet low cost solution for centralizing management functions and day-to-day operations. With EyeCareConnect, patient information can be securely shared between offices, and rollup reports can be run across every office in real-time. The vexing problem of multi-office management has been addressed at the very core of EyeCareConnect and is inherent in the product without any additional cost. If you are a roaming doctor, or the owner of several offices, your information is as close as the nearest internet connected PC.
EyeCareConnect does not currently charge for a trial account to gain access to the system, setup fees, licensing or "maintenance" fees. This is in keeping with our philosophy and mission, which is to improve the efficiency of our client's offices by offloading repetitive work from staff. Where we offer value added services that accomplish that, and incur our own costs, we charge a per transaction fee. So, if we process a claim, or send a patient bill, or mail a recall postcard, we charge for that. We also offer simple and inexpensive per patient pricing for storage of patient records, and your own attachment files you can optionally upload to store with your patient records.
Think of the typical process in a medical office. You may run software or you may use paper, but recording the patient visits into either is usually just the beginning of the work. For EyeCareConnect users, that's about all that's required. The "Hands Free" concept is simple: from there, enough information is already available to handle much of the remaining office work. Our users don't "do" claims, they watch their claims get processed from a claims tracking screen. They monitor as patient bills are systematically aged and sent without need to set up mail merges, stuff envelopes, or run off to the post office. They sit back and watch as recall orders are filled yet you won't find boxes of card stock anywhere on their premises.
Aside from the significant work savings, the key is measurable cash flow improvement. Automated claims are less error prone and more likely to be paid. Claims paperwork doesn't get lost under stacks of other office papers. Old unpaid claims are easily searched and therefore more likely to be followed up. Entirely without effort, patient bills go out when they should, not when it's convenient to "get around to it". Claims rejections can be applied to patient balances (as appropriate) and the bill for the new balance is scheduled to go out automatically, avoiding a common cause for lost receivables. Annual recalls are generated and mailed out daily based on patient exam activity, which helps keep appointment books full. Preappointed recalls are triggered from daily use of the appointment scheduler, and ensure that exam reminder notices keep costly no-shows to a minimum.

Yes. Our HIPAA Business Associate status, independently certified HIPAA claims capability, and secure architecture are your assurances to that effect, both now and in the future. EyeCareConnect handles Medicare, Medicaid, BCBS, and virtually any private carrier that is not using a proprietary, non-standard claim format. We do crossovers, Railroad Medicare, Assignment vs Non-Assignment, DME claims, Post-op care such as IOL surgery followup, HMO referrals with preauthorization requirements, etc. There's no law that says a system that is easy to use can't also be powerful and responsive to your needs.
Assigned insurance benefits are sent directly to your office, they never pass through us. Also, all patient billing statements are return addressed from your office, so patient payments are sent directly to you. Recall cards are also return addressed from your office so appointment calls are directed to your staff. Our role in every case is to facilitate the generation and movement of these business correspondences, they only appear to originate from you.
Yes we do, and our scheduler has two unique features. First, since EyeCareConnect is internet accessible, all of its features can be securely accessed from offsite, affording you the convenience of checking your appointment book from home. Second, the EyeCareConnect appointment book is hot-linked to our recall system. An intelligent agent monitors appointment entries and, for those made sufficiently far in advance, a recall card reminder with the time and date of the appointment can be mailed directly to your patient as if it originated from you. This is another of our Hands-Free services, one that can save you considerable time and prevent lost revenue.
Your data is stored on centralized data servers which are accessible from any location that has access to an internet connection and the prescribed browser software. All data is stored on multiple disk storage (RAID) arrays to safeguard your information from the type of data loss which is common in single disk office environments. Currently, there are 22 disk drives online supporting the EyeCareConnect application. All information is also backed up to magnetic storage tape and optical media for long term safekeeping. Our proprietary data replication service securely backs up each transaction you enter within 120 seconds.
Data stored in EyeCareConnect is protected by industry standard encryption and ICSA approved firewall technologies, the same used by leading banking, brokerage and e-commerce sites to secure millions of online banking transactions, stock trading and credit card shopping purchases. Unlike a typical office environment, the computers which run EyeCareConnect are housed in locked storage cabinetry in professional data centers in Philadelphia, PA and Ashburn, VA. The sites are protected with controlled access points, biometric checkpoint security, 24 hour per day monitoring, diesel powered emergency electrical power generators, and state of the art fire suppression.
The data stored in EyeCareConnect remains yours. The system is used as a secure storage area for information but is not accessible to anyone beyond the authorized user and designees, and the EyeCareConnect system administrators for the purpose of backup and access for user-directed tasks such as automatic claims processing, bills, or recalls. Any other use of the information stored on our servers is strictly prohibited and would have to be specifically authorized by you, the data owner.
EyeCareConnect is suitable for practice owners and administrators who are comfortable with daily internet usage. Offices which have never computerized or have tried expensive purchased software packages usually find EyeCareConnect an approachable and attractive alternative.
Currently, we support the latest versions of Microsoft Internet Explorer on Windows PC, as well as Mozilla FireFox, Google Chrome, and Safari on Windows PC, Mac, Linux, and various handheld devices.
EyeCareConnect requires an internet connection at the primary point of service and at least one internet connected PC. Multiple PCs can access the site simultaneously through common inexpensive modem sharing or a broadband router. Your browser must have 128 bit SSL capability which provides highly secure encryption between your location and the EyeCareConnect servers. If you are using a popup blocker, you'll need to either disable it or configure it to allow popup windows while running EyeCareConnect, since separate windows are opened when accessing the application in your browser. You can start right away by registering for a free trial account to explore the system, just complete the confidential form under the "Register" link.
At our home page, press the Register link. There is a simple one page form to complete, and all information is kept strictly confidential. By supplying an email address, we can begin sending administrative messages to you. It is particularly important to respond to our registration confirmation email, as it verifies we can reach your inbox. Once we receive your response, we can issue your password to gain access to EyeCareConnect. You will then be free to explore and learn the system at your leisure on a trial basis, and at absolutely no obligation.
After registering online, a welcome kit will be mailed to your address. You will find samples of the actual patient billing statements and recall postcards we send for our clients, which allows you to evaluate the quality of our materials. You will also find a one page signup sheet that can be completed and faxed/mailed back, indicating your billing preference. When we receive that information, your account becomes activated for premium services. You may then use an account screen to monitor and control exactly what services are used. Initially, the "Hands-Free" claims, billing, and recall services are disabled. To start using them, simply enable any or all of these features as your needs dictate. Remember this important point: sending us your billing information does not incur any immediate cost, it simply grants you the power to enable our premium services. Nothing is billed until you 1) fax us your billing information, 2) enable a service, and (3) generate billable transactions by using EyeCareConnect.
